A Practical Guide to Digital Legacy: Making Sure the Right Words Reach the Right People
What digital legacy covers, what Google, Apple, and Facebook's built-in tools actually do, and how to make sure your words reach the right people.
A digital legacy plan comes down to three lists and one mechanism.
The lists: what you want to say (messages and instructions), what people will need (access and credentials), and what should happen to your accounts (handoffs, memorialization, deletion). The mechanism: something that reliably delivers all of it to the right people at the right moment, because by definition you won't be there to deliver it yourself.
Most digital legacy guides help with the lists and say almost nothing about the mechanism. That emphasis is backwards. Writing the letter is the easy half. Making sure it arrives, months or decades from now, without you, is the hard half, and it deserves most of your attention. This guide covers both.
What "digital legacy" actually covers
The phrase gets used loosely, so let's be precise. Digital legacy planning is three distinct jobs, calling for different tools.
1. Messages and instructions. The words you want specific people to have: a letter to your partner, notes for your children, or plain practical guidance about where the important documents live, which accounts auto-renew, who to call about the house, and what to cancel first. The practical page is the least romantic item here and often the most useful one.
2. Access and credentials. Password-manager access, device passcodes, two-factor recovery codes, crypto keys. This bucket has real tripwires. Sharing login credentials can conflict with a service's terms of use, and a will typically becomes a public court record once it enters probate, so passwords never belong in a will. The sound pattern is a will that grants your executor authority over digital assets, plus a separate, secure channel that carries the actual secrets. 3. Account handoffs. What should happen to each account: memorialize the Facebook profile, hand the photo library to your sister, export and close the email, delete what should be deleted. Every platform has its own process, its own paperwork, and its own default if you do nothing.
Write the three lists first. Everything after this is about making them land.
The tools you already have, and where they stop
The three biggest platforms ship free legacy tools. Turn them on, since each takes a few minutes, but understand each one's shape, because that's exactly why they don't add up to a plan.
Google Inactive Account Manager
Google's tool watches for inactivity. You pick a timeout of 3, 6, 12, or 18 months and name up to ten trusted contacts. If you stop signing in, Google first tries to reach you with reminders. Once the window expires, it notifies your contacts and shares the data you selected, and it can delete the account afterwards if you chose that. It's the closest thing to a dead man's switch the major platforms offer, but it covers only your Google data, and its clock is measured in months.
Apple Legacy Contact
Apple's tool doesn't watch for anything. It responds to paperwork. You designate a Legacy Contact and give them an access key, which Apple can store in their account when you add them, or which you can print and file with your estate documents. After your death, they present that key plus a death certificate at digital-legacy.apple.com. Access is time-boxed to about three years from the first approved request, after which Apple deletes the account. No death certificate, no access, which also means it does nothing if you're incapacitated rather than gone.
Facebook memorialization and legacy contacts
Facebook's legacy contact manages your profile after it's memorialized. They can pin a tribute post, update the profile and cover photos, respond to new friend requests, download a copy of what you shared if you enabled that, or request that the account be removed. They can't log in as you and can't read your messages. And the role only begins once the account is actually memorialized, which someone must request and document.
Three switches, three timers, no coordination
Notice the pattern. Each tool is a separate switch on its own timer with its own trigger. One watches for months of inactivity, one waits for a death certificate, one waits for a memorialization request. None of them carries a message in your voice. None knows the others exist. And together they cover three companies, not your bank, your domains, your subscriptions, your crypto, or the long tail of smaller accounts.

A dead man's switch: one mechanism instead of many
A dead man's switch is the general-purpose version of what Google built for Google accounts. The concept is simple. The system periodically asks you to confirm you're fine, with an email to click or a check-in to tap. Respond, and nothing happens. Stop responding, and it escalates: more reminders, other channels, sometimes a check with people you've named. Only when the escalation runs out does it act, releasing your messages and instructions to the recipients you chose.
Three things make this pattern the natural spine of a digital legacy plan.
- One mechanism covers everything. A single check-in schedule protects your letters, your practical instructions, and your handoff list, no matter how many platforms are involved.
- It handles incapacity, not only death. The platform tools mostly key off death certificates or long silence. A switch responds to unresponsiveness, whatever the cause, and escalation before release protects against false alarms.
- You control the timing. Delivery happens on a schedule you chose, not on the months of platform timers or the pace of paperwork.

The question most checklists skip: will it actually arrive?
Almost every digital legacy checklist stops at "write the message and store it somewhere safe." But storage was never the hard problem. Delivery is. A message that exists but never reaches anyone is indistinguishable from one that was never written, and there are years of quiet ways for delivery to fail:
- The one notification email lands in spam, or in an inbox nobody checks anymore.
- The recipient changed their address or number years ago, and nothing ever re-verified the contact details.
- The trigger was too fragile, such as one missed check-in during a hospital stay, and it fired early. False alarms are corrosive, because after the first one people stop believing the switch.
- The trigger was too cautious, and it never fired at all.
- The service itself shut down quietly, years before it was needed.
So when you evaluate any delivery mechanism, whether a hosted service, self-hosted software, or a lawyer holding a sealed envelope, ask about arrival, not features:
- How many single points of failure sit between "I've gone quiet" and "they've read it"? One email? One company? One server?
- What happens before release? Escalating reminders across more than one channel separate a dependable switch from a fragile one.
- Are there multiple recipients and channels, so one dead inbox doesn't sink the whole plan?
- Can recipients act on what arrives? An encrypted file no one can open is a delivered failure.
- Will the operator still exist in twenty years, and what's your recourse if not?

A starting checklist you can finish in an afternoon or two
- Write one letter. Not all of them. One, to the person who would need it most. The rest get easier.
- Write the practical page: where documents live, what auto-renews, who to call, what to cancel first. One page is genuinely enough.
- Turn on the free platform tools: Google Inactive Account Manager, Apple Legacy Contact, Facebook's legacy contact. Note which timers and triggers you chose.
- Put credentials in a password manager, and enable its emergency-access feature if it offers one. Bitwarden's premium version works this way: a trusted contact requests access, and it's granted after a waiting period you set unless you decline. Keep the passwords themselves out of the will.
- Decide each major account's fate, whether to memorialize, delete, transfer, or export, and write it on the practical page.
- Choose your delivery mechanism, either a dead man's switch service or a self-hosted equivalent, and set a check-in cadence you'll actually keep. A cadence you'll ignore is a false-alarm generator.
- Tell one person the plan exists and where it begins. Then revisit it once a year, because recipients move, accounts change, and letters deserve rereading.
None of this requires heavy effort. Three lists, a few free settings, one reliable mechanism, and a handful of focused hours to make sure the right words reach the right people, whatever happens. That's a reasonable thing to want, and an achievable one.
