Digital Estate Planning for Caregivers of One
When one person holds every password, one absence locks the family out. A calm, practical plan for caregivers and sole account-holders, in five steps.
In many households one person is the operating system. They pay the bills from an account only they can open, they know which utility is on autopay and which one still gets a check, they manage a parent's medical portal, and every password lives in their head or their notes app. It works until the day that person is in a hospital bed, and then the family discovers that love does not open a bank login.
If you are that person, this guide is for you. None of it requires a lawyer to start, and none of it requires imagining the worst. It is the same category of preparation as knowing where the water shutoff is.
Step 1: Write the map before the keys
Resist the urge to start by sharing passwords. Start with an inventory: what accounts exist, what each one is for, and what would need attention first if you were unavailable for a month. Banking and bills that must be paid, subscriptions that can lapse, the medical portal, the phone plan, email itself.
The map matters more than the keys because a stack of passwords with no context is nearly as paralyzing as no passwords. Whoever steps in needs to know that the mortgage autopays on the 3rd from the checking account, not just the checking password.
Step 2: Use the official legacy features first
The major platforms have built real, sanctioned mechanisms for exactly this situation, and they are stronger than shared passwords because they survive password changes and two-factor prompts:
- Google's Inactive Account Manager lets you name people who receive access to chosen data if the account goes unused past a threshold you set.
- Apple's Legacy Contact gives a named person a key to request account data after death.
- Facebook's legacy contact manages a memorialized profile.

Step 3: Put the keys in one lockable place
For everything without a legacy feature, a password manager with an emergency-access option beats notes apps and notebooks: one strong password protects the rest, and designated people can request access with a waiting period you control. If the person you care for cannot manage one, a written master list in a sealed envelope in a fireproof box is unfashionable and workable; its location goes in the map, not on the fridge. Step 4: Decide who, and stage it
Access is not all-or-nothing. The neighbor who feeds the cat needs different information than your sibling the executor. Write down two or three people and what each should be able to reach, in what order to try them, and how to reach them. Telling them now, in plain words, is the step families skip: "If something happens to me, the envelope is in the gray box, and Dana knows the box code."
Step 5: Automate the handoff you cannot perform
Every step so far assumes someone knows something happened and knows to act. The remaining gap is the situation where nobody does, or where you would want specific instructions delivered without a family member having to go looking. That delivery problem is what a dead man's switch solves: you check in on a schedule, and if you stop, prewritten instructions go to the people you chose, in the order you chose, after a grace period that protects against false alarms.

Keep it boring
Revisit the map twice a year, when the clocks change, and after any bank switch or new account. The goal is not a perfect system. It is that the people who would step in for you are never locked out of helping, and that the knowledge in your head stops being a single point of failure.
